After ISBE completes the rollover for the newest default school year, I-Star Plus will prompt all users to enter exit data if a Student Approval record is deleted.



Scenarios:

  1. 8th grade or graduating senior Approval Records were not exited in the prior school year.
  2. Student moved over the summer and district was notified after the rollover was completed.


To remove a student from the current school year and enter exit data, click the Student tab in the toolbar and select Student Central.


The school year dropdown should display the most recent school year. Search for the student who requires exit data / who should not have rolled over.

Locate the trashcan icon under the 'Student Approval Data' panel in blue and click to delete.


Scroll to the bottom of the grayed out approval record and enter the previous year's exit data.

(If the student moved after regular term ended, the end date is the last day of school with an exit code of 06)

Click 'delete approval' if only the approval record should be deleted.

Click 'delete' if both the approval record and student caseload should be deleted.

To review student approval records with Missing Exit Data, click on the Data Collection tab and then click on Exit Data.


Ensure the school year dropdown indicates the previous school year, the appropriate Resident District is in the District dropdown and the "Missing Exits" is toggled blue.

Click the magnifying glass to search for any potential missing exits.


If any students populate on the tab, you are required to enter missing exit data before the due date. To enter the missing exit data, click the + next to the student's name.


Enter the previous year exit data in the pop-up box and then click save. Repeat the process for any other students who may be on the tab.


NOTE: The exit code of 20 is not an acceptable final exit code.

Exit Code 20 is only used for end/adds where data entry is showing a change in the student's IEP.

Possible Scenario: Data entry performed an end/add and future dated the student's newest record to roll over for the new year. District was advised that student moved during the summer and the future-dated record was deleted but the exit code of 20 was not updated on the previous Student Approval.


Exit data can be updated using the same steps as indicated above for students who rolled over into the new year.
