Summer 2023 orphanage claims will be picked up in I-Star on Nov. 1, per statute. All districts that reported orphanage students (Fund Codes D, E, or F) attending summer school following the end of the 2022-23 school year are required to complete a claim in order to receive reimbursement.
Reimbursement information for this claim will be entered into the 2022-23 school year. If students received special transportation (related service of 25) to attend summer school, 100% of those charges should be included on the claim record.
To add a new summer claim for Fund Codes D, E, or F:
The Student Approval record must have a claim Term of Summer.
From the Claims tab page, filter claims by Fund Codes D, E, or F.
From the Claims tab page, open the claim, use Manual Method, and enter Summer Days Enrolled, Summer Days in Session, and Cost per 1.0 ADE for Fund Codes D and E.
Fund Code F will default to the Private Facility Calendar, Summer Days Enrolled, and Summer Days in Session. Enter the Cost Per Pupil for Summer claims.
Run the “Student Reimbursement Funds DEF Summer Term” report to confirm the reimbursement amounts. See the Student/Reimbursement category of reports.
If orphanage reimbursement amount is still $0, contact Harrisburg Project for assistance at 1-800-635-5274 or support@hbug.k12.il.us.
Final 2022-23 room and board claims will be picked up in I-Star on Nov. 1. All claims and adjustments must be entered in I-Star under Approval and Claims/Student Residential Claims for students that had a 34-37 Residential Approval. Outstanding 2022-23 claims not entered by Nov. 1 will forfeit reimbursement.
