The Fall Enrollment Data Collection for School Year 2019 (Evidence-Based Funding, Fall Housing Report, etc.) Begins October 1, 2018.  Deadline is Friday, November 16, 2018 at 4:00 p.m.

Attention Administrators of Schools with Students in Grades K-12

The Fall Enrollment Data Collection is the source of enrollment data for Evidence-Based Funding (EBF), Fall Housing Report, The Report Card, and other reports produced by ISBE.

Data for students enrolled on October 1, 2018 will be captured on November 16, 2018 at 4:00 p.m.  Per state statute, districts have 45 days to correct data submitted for students enrolled on October 1, 2018. 


ISBE cannot accept updates to the Fall Enrollment Count after November 16, 2018.

School districts are responsible for the accuracy of ISBE Student Information System (SIS) enrollment data, including correctly enrolling students in Home and Serving schools.  ISBE uses SIS enrollment entry and exit dates to determine Fall Enrollment Counts.  Districts should submit an enrollment record after the student has attended at least one day of school and should exit students as soon as they leave the district. 

 

Home schools are responsible for student enrollment data in SIS. Serving schools and Service Providers should use the SIS reports and work with the Home schools to resolve any enrollment data inconsistencies.

To ensure data is accurate, go to the Student Information System and review the Demographics (Summary/Detail) and Enrollment (Summary/Detail) reports.  Steps for accessing IWAS and pulling these reports are included below.

How is this data used for EBF?

ISBE collects the student enrollment data on both October 1 and March 1. EBF calculations use the greater of the three-year average or current year for each data set based on students' home schools.  Final enrollment for each year is the average of October 1 and March 1 data sets.

 

How do I review my Fall Enrollment Counts?

 

Verify student demographic and program indicator data using the SIS Demographics (Summary and Detail) reports:

1.    Login to SIS via IWAS.

2.    Click on Reports in the menu on the left.

3.    Click on the (+) next to Student and go to the "Demographics and Enrollment" section.

4.    Click on Demographics (Summary)

5.    Note: On the criteria page, enter 10/01/2018 in Enrolled as of Date.

6.    Accept the defaults and click Create PDF Report to generate the report.

7.    Repeat these steps to run the Demographics (Detail) report. 

8.    Verify that the reported demographic data is accurate.

  

Verify student enrollment data using the SIS Enrollment (Summary and Detail) reports:

1.    Login to SIS via IWAS.

2.    Click on Reports in the menu on the left.

3.    Click on the (+) next to Student and go to the "Demographics and Enrollment" section.

4.    Click on Enrollment (Summary)

5.    Note:  On the criteria page, set School Year to 2019 to see all SY2019 enrollments.

6.    Accept the defaults and click Create PDF Report to generate the report.

7.    Repeat these steps to run the Enrollment (Detail) report. 

8.    Verify that the reported enrollment data is accurate.

  

Note:    Enrollment and Demographics files submitted by 4 p.m. Friday, November 16, 2018 will be processed before the fall capture is taken.
