Summer 2017 Orphanage Claims Due November 1st

Please be advised that Summer 2017 Orphanage claims will be picked up in the I-Star System at the end of business on Wednesday, November 1, 2017 per statute. All districts that reported Orphanage students (Funds D, E, or F) attending summer school following the end of the 2016-17 school year are required to complete a claim in order to receive reimbursement for the 2016-17 school year. Reimbursement information for this claim will be entered into the 2016-17 school year. If students received special transportation (related service of 25) to attend summer school, 100% of those charges should be included on the claim record.

 

Specific instructions for completing a claim are as follows:

·        To add a new summer claim for Fund D, E or F

o   The FACTS Approval record must have term Both or Summer.

o   From the Claims tab page, filter claims by Fund Code D, E or F.

o   From the Claims tab page, select the “Add” link from the Actions column of the grid for the appropriate student where claim Term is Summer.

·        From the Claims tab page, open the claim and be sure to enter Summer Days Enrolled, Summer Days in Session, and Cost per 1.0 ADE.

·        Use Manual Method of calculation for Summer claims.

·        From the Claims entry page, perform “Save and Check Errors”

·        Run the “Student Reimbursement Funds DEF Summer Term” report to confirm the reimbursement amounts.  See the Student / Reimbursement category of reports.

·        If Orphanage Reimbursement amount is still $0, contact Harrisburg Project for assistance support@hbug.k12.il.us
